SUMMARY:
There are several methods of backing up Exclusively Locked files. This document discusses each method briefly, including the Locked File Backup Agent (applicable only to version 5.5 and later), St. Bernard Software's Open File Manager, UltraBac's SQL and Exchange Live Agent Backups, and stopping and starting the services so the files are not locked exclusively.
DETAILS:
Exclusively Locked files in a backup will get error messages unless there is some special method used for backing them up. Certain kinds of files - database files, email files, etc. - tend to be locked by the applications that use those files, and will get these error messages unless an agent of some form is used, or the database or email program is temporarily shut down during backup.
Common errors as occurring in the backup log due to Exclusively Locked files are "Sharing Violation" and "Locked Exclusive". The following are some examples:

Using UltraBac's Locked File Backup Agent
This applies to version 5.5 only.
Using St. Bernard Software's "Open File Manager"
When using St. Bernard with UltraBac, the user must associated interdependent files using St. Bernard. St. Bernard will make the exclusively locked files act as though they were not exclusively locked. St. Bernard accomplishes this by caching any changes to these files and committing the changes later. This process is transparent to UltraBac and nothing special needs to be done in UltraBac.
We suggest that you contact St. Bernard's technical support department for information on how to set up the St. Bernard software.
UltraBac's SQL, Exchange, and Oracle Live Backup Agents

Stopping the program or services that lock the files
Examples of this would be databases such as Exchange, Oracle, Lotus Notes and Microsoft SQL. A batch file can be created with commands to stop and start the services, and those batch file commands can be entered in the Before and After sections in either the specific set, or the scheduled backup group. For local applications, generally the NET STOP and NET START commands will be used. For applications and services running on a remote server, the Windows NT Resource Kit is generally required, and would use the NETSVC commands.

For Oracle, Lotus Notes, or other database applications, please contact the software manufacturer for the commands necessary to stop and start those applications, but the commands would follow the same basic formats as the ones for SQL and Exchange.
